Administration

 

The purpose of this document is to provide the SCAC code administrator instructions on how to change a password for the first time, add, edit and delete Companies, Groups and User IDs.

 

In order to properly understand the system, it is important to understand the role that each of the parties plays.

 

Companies – All parties that participate in the workflow (Administrator, Export Forwarder, Notify Party, Consignee, Import Forwarder, Shipper) should be established as companies within the system (otherwise you will be re-typing their information each time they involved in a transaction).  This area holds the address, contact, and roles of each company.  Establishing a company does not establish access to the system.  The role selected for each company is especially important as it limits the privileges that a company has.

           

Export Forwarder – May create and send Manifests to US Customs

            Notify Party – A party listed on documentation. 

Consignee – A party listed on documentation * If viewing access is requested contact Sectra, LLC.

Import Forwarder – May create and send Manifests to US Customs

Shipper – A party listed on documentation *If viewing access is requested contact Sectra, LLC

 

Groups – Companies that are grouped together and have the ability to view one another’s data.  By default, a group is automatically created for each group that is established.  This one to one relationship will allow a USER ID to be established for that particular group.

 

User IDs – Attached to a particular group this login provides access to the system.

Logging in for the First Time and Changing the Password

 

You have been provided a URL and a Username to login to the System as your SCAC code administrator. The examples below are not real sites but show how to determine your path. For Example Your SCAC code is MAWB. Your path would be as follows if you are a manifest 24 customer.

You will be provided a username and password to gain access to the system as the administrator. Please change your password immediately for security reasons.

 

Rules of thumb when setting up Companies:

 

If you ever intend to integrate the data from AMS into you US Forwarding System or other Forwarding or Customs Brokerage System the codes used to create companies within the administration utility should match the codes of the system you will be integrating with.

 

Groups are set-up automatically using your three character prefix. For example you SCAC code is MAWB and your three digit prefix assigned when we configure the data base is MA1. All group codes created will have a MA1 followed by the company code your used when creation the company. Company Code ABX001 would produce a group code of MA1ABX001.

 

UserID’s are created for companies that will require access to the system to view, organize, modify or create data within your AMS system. When creating UserID’s it is recommended to tie the login to the company code created in the company table. This will help you identify UserID’s against companies easily. Finally when selecting the group code to match the Company code make sure this is correct.

 


Step1:

Changing my password on the Administration Account.

 

 


Step 2:

Login to you account using your SCAC code and password provided by SECTRA, LLC.

 


Step 3:

Click on the Administration Button located on the Top Banner of your screen.

 


Step 4:

Click on the User ID button.

 


Step 5:

Click on the Search Button

Select EDIT next to the USER ID for you SCAC Code

 

Modify the Password and then enter the same password in the Verify field.

Click on the Save Button.

Select Logoff and Log back in with your new password.

Once completed you are ready to Configure the Companies, Groups and user ID’s required to utilize WEB-AMS or Manifest 24.

 


Add a New Company

 

Step 1

Login to your account using your User Name and new Password (as established in Part 1 – Changing Password).

 

 


Step 2

Click on the Administration button located on the top banner of your screen.

 


Step 3

Click on the Company button

 


Step 4

Click on the ADD Button

 


Step 6

Complete the Company information completely as this will be transmitted to US Customs.

 

Select SAVE.

 

Company Information Field Description

Company Code – Enter Company Code. Remember do NOT be random when selecting company codes. If you intend to integrate AMS data with other systems you MUST use codes that match.

Company Name – Enter company name

Care of Name – Enter contact name

Address 1 – Enter Street Address

Address 2 – Enter Suite or City, State, Zip

Address 3 – Enter City, State, Zip

Country – Enter Country

Phone Number – Enter phone number (dashes may be entered to separate area codes etc)

Fax Number - Enter fax number (dashes may be entered to separate area codes etc)

E-mail Address – Enter contact e-mail address

Inactive Flag – Indicate this box if the client is inactive and you no longer want to be able to select them from a search menu

Roles – Indicate the tick boxes for the roles the party will play (more than one box may be selected).

 

Export Forwarder – May create and send Manifests to US Customs

            Notify Party – A party listed on documentation. 

Consignee – A party listed on documentation * If viewing access is requested contact Sectra, LLC.

Import Forwarder – May create and send Manifests to US Customs

Shipper – A party listed on documentation *If viewing access is requested contact Sectra, LLC

 

Note:

Sectra, LLC suggests to first set-up all the companies that will act as exporters of goods to the United States.

 

Repeat this process until all company records are complete.

 


Search an Existing Company

 

Step 1

Once logged into the system, click Administration

 


Step 2

Click Company

 


Step 3

The search screen allows you to search by Company Code, Company Name or Care of Name.  You may further narrow your search by searching All, Containing, Start with or Exact Value.  In addition you may select to view active participants or by a particular role.

 

 


Step 4

To view all entries, without making changes, click on search.  All companies will be returned.

 

You may now edit or delete a company.

 


Edit an Existing Company

 

Step 1

From the search screen, click on the Edit hyperlink.

 


Step 2

Make the appropriate changes.  Click save.

 


Delete an Existing Company

 

Step 1

From the search screen, click on the Delete hyperlink.

 


Step 2

Click OK to delete the company

 


Setting Limits for an Export Forwarder

 

With standard usage of the system, Export Forwarders have the ability to send Manifest to customers.  Some Import Forwarders want to preview Manifests before they are sent to Customs.  In order to do this, follow the steps below.

 

Step 1

Click the box to the right of Export Forwarder to indicate the EF role.  Click Save.

 


Step 2

Click the tick box to the left of Review Manifest Before Send.  This will shift responsibility from the Export Forwarder to the Import Forwarder every time the Export Forwarder clicks the Send button. 

 

Under these circumstances, instead of the Send button sending manifests to customs it will change the status to ‘Ready to Send’.  The import forwarder will then need to review manifests in the Ready to Send status, review and make changes and send to customs.

 


Add a New Group

 

Step 1

From the Administration screen, Click Group.

 


Step 2

Click Add.

 


Step 3

Enter data for Group information

 

 

Group Code – Enter a group code.

Group Name – Enter a group name.

Group Inactive – If you want the group to be inactive (unable to select it from searches) click the tick box

Company Code –Click Search to select a company to attach to a group (see next page for instructions)


Step 4

Click Search to select a company


Step 5

Click Search for a list of companies.

 


Step 6

Click on a company Code hyperlink to insert the Company into the group.

 


Step 7

Click Save

 

 


Step 8

You will be returned to the Group lookup screen.  To add another company to the group, search for the group you just added.

 


Step 9

From the Group list, click Edit.

 


Step 10

On the Edit Group Information screen, click search to the right of the Company Code field.

 


Step 11

Click on a company Code hyperlink to insert the Company into the group.

 


Step 12

Click Save

 

 


Step 13

You will be returned to the Group lookup screen.  Continue to repeat the process until all appropriate companies are added to the group.

 


Search for an Existing Group

 

Step 1

From the Administration screen, Click Group.

 


Step 2

Select parameters to search by, click Search.

 


Step 3

Groups meeting the criteria you selected are returned.  You may now edit groups. 

 


Edit an Existing Group

 

Step 1

From the search screen, click Edit.

 


Step 2

Make changes, click Save.

 


Add a New User ID

 

Step 1

From the Administration screen, Click User ID.

 

 

The User ID will allow a user to enter the system from the login screen.


Step 2

Click Add

 


Step 3

Enter User information.  Click save.

 

User Name – Enter User Name

User Full Name – Enter Full Name

Password – Enter password

Verify – Re-enter password

E-mail address – Enter e-mail address.  An automatic e-mail will be sent when the User ID is saved.

Group Code – Click Search to select a group to attach the User ID to

Expire Password – If you want to expire the password, click the tick box

Password Expiration Date – Enter the date for the password to expire

Allow System Administration – Click this tick box to allow system administration (create, edit, delete Companies, Groups and User IDs).  The role of Administrator must also be selected when the company contained in the group was established.

User Inactive – User IDs may not be deleted from the system.  To limit access to the system, set the user as inactive by clicking the tick box.

 


Search for an Existing User ID

 

Step 1

Click on the Administration button located on the top banner of your screen.

 


Step 2

Click on User ID

 


Step 3

Select the parameters to search by, click search

 


Step 4

A list of User IDs that meet your parameters will be returned.

 


Edit an Existing User ID

 

Step 1

Click Edit to make changes to an existing User ID

 


Step 2

Make changes, Click Save.
