Utilizing Search Groups

 

Search Groups are a way to limit the amount of information that your ssers have easy access to within the company search capabilities of the WEB-AMS, Manifest 24, Trackingpro and Trackpoint Applications.

 

When Creating a Manifest, we will need to enter in the information for the Export Forwarder.

 

 


By clicking the search button, we can begin to search for a Company Code for the Export forwarder, by doing a search for all Companies with the role of Export forwarder, we will get a list similar to this one:

As you can see, we have pulled up a list of 15 Export Forwarders available for this Manifest.


Now let’s create a Search group for this user, First we log in as the administrator and go to the administration section


We then click on the Search Groups button (note search groups are NOT the same as regular groups) and then click the Add button


Here we will create a Search group code and Search group name


Using the Magnifying glass on the search group information we will begin to add companies to our search group.  Here we have used the Company Roles pull down menu to search for only Export Forwarders.  Please note that you will need to add at least one company from each Company role to complete the group.  Failure to add companies for certain rolls will result in that role lacking the search feature.  This subset of Search Groups will be addressed at the end of this section.


Here you can see the full listing of available Export forwarders from the search.

 


Here I have selected a company and brought it into the search group, thus giving my user the ability to search for, and locate this company within the application.

 


Here you can see I have continued to pull in companies for my search group.

 


Once you have added your required companies to the search group.  Save the new Search Group.

 


Now we need to attach this search group to a User.  Search Groups work on a per user basis.  Go back into the Administration tab, and click the UserID button.

 

 


Then we search for the User we wish to associate the Search group with

 

 


Selecting the Edit button for a pre-existing userid or during the creation of a new User we will see the following screen.

 

 


 

In the field marked Search Group Code, is where we need to put in the code for our search group code.  We can search for a code with the magnifying glass.

 

 

As you can see, I have entered the code that was created for our Search group and am about to do a Search for a Group Code Containing the value of EFSG.

 


And I have located the Group that I created, by clicking the Group Code I will pull the search group information into my userID information screen.

 

 


Here you can see the userid with search group information added.

 

 


Once finished, save your New or updated User information.  When the user logs in he will utilize the Change via the search group as seen here:

 

The user with search groups enabled is creating another manifest and is going to search for an Export Forwarder again.

 

 


 

However, he is now only able to search for the companies we specified in the search group. Instead of viewing the complete list, he only sees the information you’ve given him.

 


Other Search Group information

 

1. Its important to note that while search groups limit the information your clients can easily access, it does not prevent them from obtaining the information via the pull menu, If your client enters a correct company code in the Code field and utilizes the pull feature, even if the company is not within the search group specified it will pull the correct information.

 

2. The search group field can be filled in one of 4 ways, leaving the field blank or putting in the word ALL will permit your user to see all available companies for each role.  Placing a valid search group will permit company searches within the company parameters you have selected. Placing the value of NONE in the search Group Field will remove the ability of your user to use the search feature within the application.  Use of the NONE search groups along with templates will place the maximum level of security on your users.

 

3.  If you do not add in a company for a specific role within the search group, for example the Consignee, when the user searches for a Consignee Code, they will not pull up any result and would have to manually enter the code and use the pull feature to enter data.
